JOB PURPOSE

Supports the FMS Head with day-to-day operations of the facility(s) or Office including, general maintenance and helps to ensure these are carried out in a manner consistent with company policies and ownership directives.

Supports Site HR & FMS Head with day-to-day operations of the facility(s) or Office including, general maintenance and helps to ensure these are carried out in a manner consistent with company policies and ownership directives.

Supports the Site HR &  FMS head in implementation and management of all maintenance programs relating to the interior and exterior conditions and appearance of the facilities.

This includes assisting with the management of contracts and vendors

Helps compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time.

Helps prepare financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facility(s) or complex as directed.

Helps collect, analyze and prepare reports of such statistical data as may be required to provide accurate and current assessment of facility management objectives. (eg. Consolidation of Guest house data from all locations etc.)

Expected to be thoroughly familiar with the management contract, vendor agreements, and other building/facility contracts and all requirements contained therein.

  • Procurement of Assets through SAP.
  • Processing of Bills of the vendors.
  • Coordination with Finance for Payments of vendors and capturing in control sheet.
  • Maintaining of database on PR to PO control sheet for all assets bought through SAP

Proactively inspects the facility, systems, rooms, common areas, etc. and takes corrective action /  reports back any findings or issues to the HR & FMS Head.

Support to FMS Head in Standardizing  FMS functions across Offices / Circle Offices.
