JOB PURPOSE

Overall accountability of the PO Factory and catalogue management function.

ORGANISATION CHART

KEY ACCOUNTABILITIES

Operations:
    Lead and overall accountability to oversee the Catalogue management activities through e-procurement systems and tools into end to end procurement process, 
    Agreeing and documenting a product/service definition and description, Agree and document the content of Product/Service portfolio, 
    Work closely with stakeholders across the Procurement Department, Legal team and any external partner/provider of the Catalogue services to ensure the effective execution of Catalogue management.
    Prioritizing, scheduling and assigning of catalog requests among teams to ensure quality output and meet productivity goals
    Ensure efficient execution as per the agreed SLAs and ensure quality as per agreed KPIs
    Interface with external internal teams for various tasks on catalogs such as seller data quality control, catalog creation
    Support the enablement of the supply chain through effective engagement and communication; designing and delivering user awareness programs and events to gain the “buy in” of key users of the catalogues.
    Responsible for Reporting / Analysis of key metrics        SLAs
    CSAT Score
    Accuracy of Catalogue content at any given point.
    Number of creation/modification requests processed per month.
    First pass yield of transaction processing
    Time to process transaction
Governance
    Conducting regular governance meetings and interactions with team members
    Focus on internal controls especially to statutory requirements –ICFR and accounting policies
    Work on remediation of gaps identified as part of various audits – Internal, External and Peer Review
    Define /strengthen processes to ensure better controls in processes        Cadence of Governance meetings help during the review period
    Aged and Open observation
    Accuracy and timeliness of Query response
Process Improvements 
    Participate in the simplification of the e sourcing processes and related documentation which are led by the retained procurement organization.
    Suggesting improvements to Procurement-Team Lead, where opportunities exist         Change Requests/Initiatives logged by the team
People Management
    Continuous monitoring & management of team members. 
    Creating goals, mentoring, coaching and providing opportunities to enhance current skill sets in order to foster/empower an innovative team environment.
    Responsible for controlling the attrition rate

EXTERNAL INTERACTIONS

Supplier

  • To ensure timely completion of e-sourcing events.

Catalogue Service provider

  • Ensure accuracy and availability of Catalogue provided by the partner.

INTERNAL INTERACTIONS

Stake holders/ Business User Team

  • To resolve any query/discrepancy identified during the Catalogue management.

Internal SSC Team

  • Reach out to other SSC team members for quick resolution of open issues & escalations

GMR IT

  • Application or interface related issue

EDUCATION QUALIFICATIONS

  • Graduate degree in Engineering, Commerce or Management.  MBA preferred
  • Overall experience of 6-8 years in the Procurement function with 4-6 years’ experience in a complex organization, with a strong Catalogue Buying portfolio
