JOB PURPOSE
Assist in execution of Contract and Procurements in most competitive manner, vendor management, logistics management contract closure, in line with overall project program for all Civil & Associated Works. |

Continuous vendors intelligence and manage vendor data base. Assist in building and maintaining the vendor network to ensure that a good pool of credible vendors develop long term partnerships. This involves scanning for potential vendors, performing feasibility and quality checks by user departments, getting market feedback, checking vendor registrations and documentation as per ISI rules etc. |

Ensure all purchase activities comply with quality standard, tax and government policies – Compliance with all rules of the land and also conduct regular vendor audits to maintain the quality and timely delivery. Update self on latest tax rules and trade laws and ensure nil deviation. Drive tax saving measures. |

Review PR & Understand the requirement for the procurement of materials, & works / Service and update to Manager / HOD on key observations and requirements. Manage entire Bidding process including EOI, RFI, RFQ / RFP Process. Assist Manager / HOD in Negotiation process. Document bid evaluation process and prepare approval documents. Shall independently handle multiple minor procurements and contracts up to 1 Cr (or with minimum assistance.) Use latest negotiation tools such as E bidding (reverse / forward auctions) methods. Process Approval notes and ensure timely approval from all HODs as per DOP in place. Prepare Purchase orders / Work orders take manager / HOD approval and issue Plan logistics and delivery of all equipment to project location by the supplier or OEM. Ensure all logistics are planned in advance as per project programme Manage shipment, insurance, custom clearance,, payment of duty and all documentation till material in handed over to stores or project consumption. |

KEY ACCOUNTABILITIES
Payment certification of vendors including check on all required documentation such as quantity / measurement checks, quality documents, test certificates and complacence to all contractual terms. Follow up with finance for timely payment. Co-ordinate with HR for clearance of Labour law compliance by the contractors. Ensure payment of Building cess by the contractor. Assist Manager / HOD in Managing Contracts / agreements and work orders during execution including tracking of changes/ variation and delays or extension of time in coordination with Site execution team / Project Manager. |

Track and update management on interface issues with various components of the projects (interface between MEP and Civil/ structural /finishing works) which affect overall project schedule and Cost. Handle Performance BGs, Insurance and Other contract securities submitted by the Contractors and ensure tracking the same for renewal or disposal on expiry. |

Assist in Contract Management of all Agreements including communications with other party, assist Manager /HOD in Change Management (Variations), contractual notices (to/ from) various vendors and timely MIS to Management etc. for; Agreements between Client (where GADL is Consultant to client) and his Suppliers and contractors appointed for client’s project. Draft and negotiate contracts/ agreements with the vendors ensure clearance from HOD and Legal. Assist in Closure of contracts Monitor and ensure systematic document control mechanism |
