JOB PURPOSE

Provide support to BCM on key matters including (but not restricted to):

  • Calendar management planning
  • Mail management, prioritization, and response.
  • Maintain communication tracker
  • Board meeting support
  • Support on special projects on a need basis

KEY ACCOUNTABILITIES

Accountabilities Key Performance Indicators

Calendar Management Planning-Engage in annual calendar planning for chairman.

Oversee smooth functioning of BCM’s calendar. Preparation of meeting plans and circulate within CCMO and GHB office for its finalization.

Using Judgement propose options for rescheduling as needed basis business priority or direction from BCM.

Ensure through team timely update of BCM’s calendar for scheduled and re-scheduled meetings.

Co-ordination for all external appointments of BCM and Coordinating with external Guest, VIP’s etc. and align calendars for the meetings.

Ensuring timely reviews of planned meetings and maintaining records.

Timely updating of calendar

Mail management, prioritization, and response-•Review incoming mails in BCM’s official mail ID on daily basis. 
•Regularly monitor and filter junk mails and divert spam and flag important mails for BCM’s attention. 
•Prioritize mails based on criticality upon consulting SLT, EA’s etc and then bring to the notice of BCM accordingly. 
•Draft responses to mails with BCM’s inputs and approvals. 
•Follow up on email status – alert him on pending mails to responded
•Seek support from SLT’s and EA’s wherever needed before sharing drafted mail response with BCM.
•Ensure responses are sent to those concerned in a timely fashion.
•Adhering to data security protocols to safeguard confidential emails and communication.
•Update chairman on all latest software updates and tech upgradations

Time-bound response to mails and effective mail prioritization

KEY ACCOUNTABILITIES - Additional Details

Maintain communication tracker-Tracking and Monitoring of Email action points assigned by BCM
Manage database of previous communications/mailer by BCM and ensure availability as and when required by BCM.
Maintain and update communication tracker with details of respondents/stakeholders. Ensure timely update of addresses as needed
Timely availability and accurate compilation of mails and data

Board Meeting support

•Support in arranging all necessary documents for BCM prior to board meetings.
•Engage with CEO’s CXO and ensure timely delivery of any information to chairman before board meeting
•Coordinate with EA to gather all documents that need to reviewed by chairman for meetings
•Provide any additional summary data points, reference materials from EA for board meetings

Timely availability of documents for board meeting prep

Support on special projects on a need basis

•Provide end to end support on any personal confidential matters including researching for chairman awareness on requested topics/issues
•Support on special projects such as confidential recruitments as requested by chairman

•GCM’s friends, relatives, family members
•Consultants and other vendors

•Other GHB offices for any specific matters
•EA/ key internal business team members for specific information/ inputs as required by BCM
•Admin/ guest relations for any matters related to GCM’s guests.
•PA’s of chairman to ensure timely completion of all assigned activities

EDUCATION QUALIFICATIONS

  • Graduation / Post Graduation

RELEVANT EXPERIENCE

  • 10-15 years of experience in providing secretarial support to a promoter in any family-owned enterprise.
