JOB PURPOSE

Responsible for Contract Management & Commercial operations for Imported coal supplies .And Coal trading for North & Eastern regions.

Accountabilities

Key Performance Indicators

Coal Contract preparation,, finalization, execution, administration & enforcement.

Contract Cost. Disruption in operations. Timely finalization , preparation and  amendments –Plan v/s Actual 

Compliance to mitigation plan for identified risk in shipment operations. Remedy on contractual defaults to take approval for any deviations

Percentage Compliances

Commercial Operations till closure and ensuring timely delivery and timely preparation of shipping documents, NN documents in line with commercial terms ,Timely establishment of  Letter of Credit with in agreed commercial terms, and any discrepancy are in line of acceptance  till complete closure of the shipment

Scheduled Time of delivery - Plan vs. Actual

Ensuring all Custom clearance documents in line with customs requirement and should reach timely for timely custom clearance, All NN documents as per bank requirements and timely reach to respective banks for timely LC clearances and acceptance of any deviation if any within commercial limits.

Scheduled Time of delivery - Plan vs. Actual

Commercial Operations of logistics (Stevedores, CHA, and IIA) and coordination between multiple vendors involved. Solving Vendor grievances, Vendor Performance Management.

KEY ACCOUNTABILITIES

Coordination’s with internal stakeholders like Plant Finance, GCRPL Finance, IDT team, Shipping team, Insurance team, and Plant coal teams for timely completion of Shipment.

Scheduled Time of delivery - Plan vs. Actual

Cost estimations, Budget preparation. Calculating & Preparing fund plans and planning for effective fund utiliasation. Coordination & planning with Finance team for effective real time fund utilization and its proper booking shipment to shipments.

Expenses – Plan vs. Actual. Disruption in operations

Invoices verifications & Processing ,calculations for credit notes for reimbursements etc, calculations of debit notes like shifting charges, punitive charges, shunting charges, detentions charges, under loading charges, slow discharge charges etc, by the vendor/govt/port  authorities and its accounting for timely processing and payment. Ensuring all payments as per agreed terms, applicable deductions, and applicable incentives, with proper direct & indirect taxations.

Timely payment - Plan vs. Actual

Complete documentation of shipments, MIS, Ensure proper accounting and  proper SAP bookings for respective vessels.

Covering losses risk and cost recoveries

Coal Marketing of North & Eastern regions. Interaction with Imported Coal buyers in the market and bringing their enquiries for coal trading and closing the deals.

No. of Enquiries and successful deals completed.

FINANCIAL DIMENSIONS

  • Administer 1 MMT (appx 18 vessel) coal that will be handled have high Financial/Delivery Implication to external customers.
  • Administer 1.3 MMT (appx 24 vessel) coal that will be handled have high Financial/Delivery Implication to internal  customers
  • Coal movement cost of each shipment is approx. INR 430 Million.

OTHER DIMENSIONS

  • Coordination with 2 ports (likely to go up) and 2 plants and no. of stakeholders   involved for smooth operation .
  • No. of vessels handled so far 20. No,s are likely to go up for coming months with internal as well as external customers.
  • Dealing with more than  10 coal customers presently and many more are in processes which is  likely to go up for coming months.

EDUCATION QUALIFICATIONS

  • Graduate/PG

RELEVANT EXPERIENCE

  • Having good commercial & negotiation skills, Vendor management, Analytical, Budgeting , Planning & coordination skills, Marketing skills  Interpersonal relationship, Communication ability with 12 years of experience in mid-size manufacturing set up with good knowledge of coal  and complete  import logistics operation function.
